Rylex Consulting, LLC, doing business as True Recruits ("True Recruits," "we," "us," or "our"), respects the privacy of athletes, parents and guardians, coaches, college coaches, visitors, and other users of the websites, recruiting platforms, forms, communications, and related services that we operate or support.
True Recruits develops, hosts, manages, licenses, and/or provides technology and related services for customized college recruiting platforms used by travel baseball, softball, soccer, and other sports organizations throughout the United States. Certain recruiting platforms may be branded primarily or entirely with the name, trademarks, logos, and other branding of the travel sports organization licensing or using the platform.
This Privacy Policy explains how information may be collected, used, displayed, disclosed, maintained, and protected through True Recruits-operated or supported platforms.
By accessing or using a platform, submitting information, or, where applicable, authorizing information to be included on a recruiting profile, you acknowledge the practices described in this Privacy Policy.
1. Scope of This Privacy Policy
This Privacy Policy applies to websites, recruiting platforms, player-profile systems, forms, directories, communications, and related digital services operated, hosted, managed, or supported by True Recruits.
Depending on the particular platform, True Recruits may provide services on behalf of or in collaboration with a travel sports organization, club, program, team, recruiting provider, technology provider, or other business partner ("Program Partner").
A Program Partner may have its own privacy policy, terms, registration agreement, or other policies. Users should review those policies when applicable.
2. Information We May Collect
Depending upon how an individual uses a platform, we may collect information such as:

Player name;

Player email address;

Graduation year;

High school;
-
Hometown, city, and state;

Academic information voluntarily submitted for recruiting purposes, such as GPA or standardized test information;

Athletic position, team, height, weight, athletic measurements, statistics, metrics, awards, accomplishments, and recruiting information;

Photographs and other profile images;
-
YouTube channel URLs, recruiting videos, highlight videos, and other media;
-
Social-media usernames or URLs;
-
College commitment information;
-
Parent or guardian name;
-
Parent or guardian email address;
-
Parent or guardian telephone number;
-
Coach and team information;
-
Communications, form submissions, support requests, and information voluntarily provided to us or a Program Partner; and
-
Technical information associated with use of a website or platform, such as IP address, browser type, device information, pages visited, referral information, cookies, and similar usage information.
The particular information collected may differ between platforms and Program Partners.
True Recruits does not require every category of information listed above from every user.
3. Public Recruiting Profiles
A principal purpose of the True Recruits platform is to help athletes present recruiting information to college coaches, recruiters, athletic programs, and others involved in the college recruiting process.
Accordingly, information submitted for a player recruiting profile may be intentionally displayed on a publicly accessible or recruiting-accessible player profile.
Depending upon the particular platform and information authorized for publication, a player profile may include athletic, academic, team, recruiting, photographic, video, social-media, and contact information.
A player's date of birth is not intended to be displayed on the public player profile.
Player email addresses may be displayed when provided or authorized for recruiting purposes.
Parent or guardian contact information—including a parent's or guardian's name, email address, and/or telephone number—may also be displayed when voluntarily provided and authorized for inclusion on the player's recruiting profile.
Users should understand that information displayed on a publicly accessible webpage may be viewed, copied, saved, indexed, captured, or redistributed by third parties outside the control of True Recruits or the Program Partner.
For this reason, parents, guardians, and athletes should only submit information for public display that they are comfortable making available for recruiting purposes.
4. Parent and Guardian Contact Information
Parent or guardian contact information is collected and displayed for legitimate recruiting and communication purposes.
When a parent or guardian voluntarily submits their contact information for inclusion on a player's recruiting profile and affirmatively authorizes its display, that information may be made available to college coaches, recruiters, athletic programs, and other visitors or authorized users of the platform.
Providing public parent or guardian contact information should be optional unless otherwise clearly disclosed at the point of collection.
A parent or guardian may request that their publicly displayed contact information be corrected, changed, or removed at any time by contacting True Recruits or the applicable Program Partner.
Removal from the active platform does not necessarily remove copies previously saved, indexed, cached, archived, downloaded, or otherwise retained by independent third parties.
5. Information Concerning Minors
True Recruits platforms are college recruiting services and may contain profiles for athletes who are minors.
Parents and legal guardians play an important role in determining what information concerning a minor athlete is submitted and displayed.
Where parental or guardian authorization is required by applicable law or by our procedures, information concerning a minor should be submitted or authorized by the athlete's parent or legal guardian.
If an athlete is under 13 and the Children's Online Privacy Protection Act ("COPPA") applies to the collection, use, or disclosure of that athlete's personal information, we will seek to handle such information in accordance with applicable COPPA requirements, including parental notice and consent requirements where required.
True Recruits does not intend to knowingly collect personal information directly from a child under 13 in violation of applicable law.
If a parent or guardian believes that information concerning a child under 13 was collected without appropriate authorization, the parent or guardian should contact us so that we can investigate and, where appropriate, delete or otherwise address the information.
6. How We Use Information
We may use information collected through our platforms to:

Create, maintain, display, and update player recruiting profiles;

Help athletes and families participate in the college recruiting process;

Enable college coaches and recruiters to discover and evaluate prospective student-athletes;

Operate player directories and search tools;
-
Provide recruiting resources and services;

Communicate with athletes, parents, guardians, coaches, and Program Partners;

Process forms and profile updates;
-
Provide customer service and technical support;
-
Maintain and improve websites and recruiting platforms;
-
Monitor platform performance, security, and functionality;
-
Prevent misuse, fraud, unauthorized activity, and security incidents;

Maintain appropriate business and operational records;
-
Comply with applicable legal requirements;
-
Enforce applicable agreements and policies; and
-
Perform other purposes disclosed when information is collected or authorized by the individual.
7. Program Partners and Service Providers
True Recruits works with Program Partners and third-party vendors and service providers to build, host, operate, maintain, communicate through, and improve recruiting platforms.
These parties may include, as applicable:

Travel sports organizations, clubs, programs, and teams;

Website hosting and content-management providers;
-
Database and cloud-storage providers;
-
Customer relationship management and communications providers;
-
Email and text-messaging providers;
-
Video and media platforms;
-
Analytics providers;
-
Payment processors;
-
Recruiting technology providers;
-
Software developers and technical contractors;
-
Security and fraud-prevention providers; and
-
Professional advisers and other vendors supporting platform operations.
Information may be disclosed to these parties when reasonably necessary to provide, maintain, secure, support, or improve the applicable services or when otherwise permitted by law.
The use of information by independent third-party platforms may also be governed by those parties' own privacy policies and terms.
8. Relationship With Licensing Sports Organizations
A recruiting platform may be created and operated by True Recruits for a Program Partner under a licensing, services, white-label, or similar business arrangement.
Depending upon the circumstances, True Recruits and the Program Partner may each have responsibilities regarding information collected through the platform.
True Recruits may process information at the direction of a Program Partner, and a Program Partner may provide information to True Recruits for purposes such as creating player profiles, maintaining rosters, communicating with families, or providing recruiting services.
Questions concerning information originally provided directly to a Program Partner may also be directed to that organization.
9. Sale and Sharing of Personal Information
True Recruits does not sell player or parent contact information to data brokers for monetary compensation.
Information may, however, be disclosed or made available as reasonably necessary to operate the recruiting platform, provide requested services, maintain public or recruiting-accessible profiles, work with Program Partners and service providers, or as otherwise disclosed in this Privacy Policy.
Where applicable state law defines terms such as "sale," "sharing," or "targeted advertising" more broadly than an ordinary monetary sale, True Recruits will honor applicable rights to the extent required by law.
10. Cookies, Analytics, and Similar Technologies
Our websites and service providers may use cookies, pixels, log files, analytics technologies, and similar tools to operate websites, remember preferences, understand site usage, measure performance, diagnose technical problems, improve services, and maintain security.
Third-party services integrated into a platform may separately collect information according to their own privacy practices.
Users may be able to control certain cookies through browser settings or other privacy controls.
11. Third-Party Websites, Social Media, and Video Services
Player profiles may contain links to or embedded content from third-party websites and services, including YouTube and social-media platforms.
True Recruits does not control the privacy, security, availability, content, or data practices of independent third-party services.
Visiting or interacting with a third-party service is subject to that provider's terms, policies, and practices.
12. Data Security
True Recruits uses reasonable administrative, technical, and organizational measures designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.
No website, database, network, transmission, or storage system can be guaranteed to be completely secure. Accordingly, True Recruits cannot guarantee absolute security of information.
Users are responsible for exercising appropriate care when deciding what information to submit for inclusion on publicly accessible recruiting profiles.
13. Data Retention
We may retain information for as long as reasonably necessary to operate a recruiting profile or platform, provide services to the athlete, family, or Program Partner, fulfill the purposes described in this Privacy Policy, maintain legitimate business records, resolve disputes, enforce agreements, prevent fraud, or comply with legal obligations.
Information that is no longer reasonably necessary may be deleted, anonymized, or otherwise disposed of in accordance with our practices and applicable law.
14. Requests to Access, Correct, or Delete Information
Subject to applicable law and appropriate identity verification, individuals may request that True Recruits:

Provide information about personal information maintained about them;

Correct inaccurate personal information;
-
Update information displayed on a player profile;
-
Remove parent or guardian contact information from public display;
-
Remove a player email address from public display where appropriate;
-
Delete certain personal information; or
-
Address another privacy concern.
Some information may need to be retained when permitted or required by law, for security or fraud-prevention purposes, to maintain legitimate business records, or for other legally permitted purposes.
We may need to verify the identity and authority of the person making a request before acting upon it, particularly when the request concerns a minor.
15. State Privacy Rights
Residents of certain U.S. states may have additional privacy rights under applicable state law.
Depending upon the law and whether it applies to True Recruits or a particular processing activity, these rights may include rights to:

Know or confirm whether personal information is being processed;

Access certain personal information;
-
Correct inaccurate personal information;
-
Request deletion of certain personal information;
-
Obtain a portable copy of certain information;
-
Opt out of certain sales, sharing, targeted advertising, or profiling activities;

Limit certain uses of sensitive personal information; and
-
Exercise privacy rights without unlawful discrimination.
Not every state privacy law applies to every organization or processing activity. True Recruits will respond to applicable privacy requests as required by law.
We may request information reasonably necessary to verify a request.
16. Legal Disclosures and Protection of Rights
True Recruits may preserve, use, or disclose information when we reasonably believe doing so is necessary or appropriate to:

Comply with applicable laws, regulations, court orders, subpoenas, or lawful governmental requests;

Protect the rights, property, security, and safety of True Recruits, Program Partners, vendors, service providers, users, athletes, parents, or others;

Investigate fraud, misuse, security incidents, or violations of applicable agreements or policies;

Establish, exercise, or defend legal claims; or
-
Facilitate a corporate transaction such as a merger, acquisition, financing, reorganization, sale of assets, or transfer of a business or service, subject to applicable law.
17. No Guarantee Regarding Third-Party Use of Public Information
True Recruits and its Program Partners provide recruiting profiles for legitimate athletic recruiting and informational purposes.
Once information has been intentionally published on a publicly accessible profile, True Recruits cannot control how independent third parties view, record, copy, download, screenshot, index, archive, or otherwise use that publicly available information.
True Recruits encourages families to carefully consider what information they authorize for public display.
Nothing in this section limits rights or obligations that cannot lawfully be limited under applicable law.
18. Changes to This Privacy Policy
We may update this Privacy Policy periodically to reflect changes in our services, technology, business practices, legal requirements, or privacy practices.
When we make material changes, we may provide notice as appropriate under the circumstances and applicable law.
The "Last Updated" date at the beginning of this Privacy Policy indicates when it was most recently revised.
Continued use of a platform following an update is subject to the then-current Privacy Policy, except where additional consent is required by law.

When submitting a privacy request, please provide enough information for us to identify the applicable recruiting platform and profile. We may request additional information when reasonably necessary to verify identity or authority before modifying or disclosing personal information.
NOTICE REGARDING LEGAL RIGHTS
Nothing in this Privacy Policy is intended to waive, restrict, or eliminate any privacy or consumer right that cannot lawfully be waived under applicable federal or state law.
